Frequently asked questions
You received an invitation: do you need to create an account?
Section titled “You received an invitation: do you need to create an account?”Yes, if you do not have a meo account yet. Click the button in the invitation email, then Create my account. Enter your name and a password, or sign up with Google or Microsoft. With a password, then enter the 6-digit code received by email. meo takes you back to the invitation: click Accept the invitation.
If you already have a meo account with this email, click Sign in instead, then accept the invitation. If meo shows “You have a pending invitation”, click View my invitation. The invitation is valid for three days. See What the invited person sees.
What is the difference between a space’s public name and its internal name?
Section titled “What is the difference between a space’s public name and its internal name?”The Public name is the one your clients see; the Internal name is visible only to your team. The public name appears on the client portal and in the space’s emails.
The internal name tells your spaces apart when several share the same public name, for example one space per advisor under the firm’s name. When you have access to two or more spaces, the space menu shows the internal name first.
To change them, open the space’s Settings: the General tab for the Internal name (shown once your organisation has two spaces), the Branding tab for the Public name, along with the space’s logo and contact details.
What is a space?
Section titled “What is a space?”A space is a work area of your organisation, with its own contacts, documents, requests and tasks. It also has its own branding: your clients see its public name and logo on the client portal and in the emails from that space.
Only people with access to a space see it. Depending on how you work, a space matches a person, a team, a brand or an internal use. See How many spaces to create.
What is the difference between the organisation and a space?
Section titled “What is the difference between the organisation and a space?”The organisation is your meo account; spaces are the work areas it groups together. Your contacts, documents and requests always live in a space.
The organisation holds what is shared: users, billing, the Catalogue offered in all your spaces, and the profile suggested for each new space. A user has access to the whole organisation, and therefore to all its spaces, or only to some spaces. Organisation access goes to the owner and to the person who assists everyone, such as an assistant; everyone else has access to their own spaces. See Organisation access or space access.
Does a person invited into one space see the other spaces?
Section titled “Does a person invited into one space see the other spaces?”No. A person who has access to some spaces only sees those: their contacts, documents and requests. The other spaces do not appear in their space menu. If they have access to a single space, the space menu does not appear at all.
Only a person with the Organization scope sees every space, including those created later. To give someone another space, see Move a user to another space.
Does a space correspond to a user?
Section titled “Does a space correspond to a user?”No. A space is a work area that holds contacts, documents and requests. A user is a person on your team, with their own account.
You give each user access to one or more spaces, and several users can work in the same space. Many firms create one space per person, but that is an organisational choice, not a requirement. See How many spaces to create.
What are a space’s contact details used for?
Section titled “What are a space’s contact details used for?”They let your clients reach your firm. The space’s email appears under its public name on the client portal.
This email is also used as a reply address. When a client replies to a request email, the reply goes to the person who created the request; if that person no longer has access to the space, it goes to the space’s email.
This email does not invite anyone and gives no access to meo. Contact details are optional. Change them in the Branding tab of the space’s settings, then check the result with Portal preview.
Do members of the same space see all of its content?
Section titled “Do members of the same space see all of its content?”Yes. People with access to a space share its contacts, documents and requests. What each person can do depends on their role: a viewer views and downloads documents, an editor creates and edits, an administrator also manages the space’s members and settings.
To keep two people from seeing each other’s clients, put them in different spaces. See How many spaces to create.
Who can create a space?
Section titled “Who can create a space?”The owner and the organisation’s administrators. A space administrator manages their space’s members and settings, but cannot create other spaces.
If you do not have this right, the New space button and the + in the space menu do not appear. See Create a space.
What happens when an employee leaves your business?
Section titled “What happens when an employee leaves your business?”You remove their access and their work stays in meo. In Settings, on the organisation’s Users page, open the ⋮ menu on their row, click Delete, then confirm by typing their email. The person loses access immediately.
The contacts, documents and requests in their space stay where they are. If they had their own space, check that space for a colleague: see Move a user to another space. Client replies to the requests they created then go to the space’s email, if it has one.
Can each member of your team send their own requests?
Section titled “Can each member of your team send their own requests?”Yes. Each person has their own account and, with the Editor or Administrator role in a space, creates and sends requests in that space. When a client replies to a request email, the reply goes to the person who created the request.
The request templates in the organisation’s Catalogue are offered in all your spaces, so everyone can reuse them. For each person to work with their own clients, give them their own space. See How many spaces to create.
What does each user role allow?
Section titled “What does each user role allow?”meo has four roles. The Owner is unique and has every right; only the owner appoints administrators and can hand the role over. The Administrator manages members and settings for the organisation or for their space, depending on their scope. The Editor creates and edits contacts, documents and requests. The Viewer only views.
Each person manages only users whose role is lower than their own. The details by scope are in Organisation access or space access.
Can a user have a different role in each space?
Section titled “Can a user have a different role in each space?”No. A user has one role. It applies to the organisation, or to every space the user can access, current and future: there is no role per space.
For example, an editor with access to the Julie and Marc spaces is an editor in both. If you give them access to a third space, they are an editor there too. See The roles.
What should you do if a colleague’s invitation has expired?
Section titled “What should you do if a colleague’s invitation has expired?”Resend it. An invitation is valid for three days. In Settings, on the Users page, the invitation appears at the top of the list marked Expired.
Open its ⋮ menu and click Resend invitation. Your colleague receives a new email, valid for three days. Let them know so they accept it in time. To withdraw the invitation, choose Cancel invitation instead.
Can you merge two spaces?
Section titled “Can you merge two spaces?”No, meo does not merge two spaces. Each space keeps its own contacts, documents and requests.
For a team to work in both spaces, check both for each person concerned on the organisation’s Users page; you can remove an access later by unchecking a box. Settle your structure before you add your clients. See How many spaces to create and Move a user to another space.
Can you use several brands or logos in your account?
Section titled “Can you use several brands or logos in your account?”Yes, with one space per brand. Each space has its own public name, logo and contact details. Your clients see the public name and logo on the client portal and in the emails sent from that space.
When you create the space, choose Customize this space. For an existing space, edit the Branding tab in its settings. See Create a space.
Can you use a space for your employees’ internal documents?
Section titled “Can you use a space for your employees’ internal documents?”Yes. Create an internal space, for example “Ressources humaines”, and give access only to the people who handle these documents.
Other employees should have the Space scope, limited to their own spaces: a person with the Organization scope sees every space, including this one. See How many spaces to create.
How do you delete a space?
Section titled “How do you delete a space?”Open Space settings, General tab. In the Danger zone, click Deactivate space. meo shows what the space contains; click Continue, tick the confirmation box, type the space’s name, then click I understand, delete this space.
Deletion cannot be undone: every document in the space, including those in the trash, is permanently deleted, and its users lose their access to the space. Download what you want to keep first.
Only the owner and the administrators of the organisation can delete a space, and the organisation must keep at least one. An additional space freed this way stops being billed at the next renewal.
How do you transfer the organisation’s ownership?
Section titled “How do you transfer the organisation’s ownership?”The owner hands it to someone who is already an administrator of the organisation. Open Organization settings, General page. In the Ownership card, click Transfer ownership, choose the New owner, click Review transfer, enter their email, then confirm.
The transfer is immediate. That person becomes the only owner and the main contact for the account and billing; you become an administrator and keep access to billing. The subscription does not change. You cannot undo the transfer: only the new owner can give the role back to you.
With no administrator, first give that role to a colleague. See Organisation access or space access.
