Your client folders keep growing. Which files do you still need? Meo highlights documents nearing their retention date. You have specific files to review instead of going through every old folder.Meo helps you notice when it is time to decide: the retention date is calculated at upload from the document type’s retention period, and the weekly summary highlights upcoming retention dates.
The email gives counts of expired documents and those expiring in the next 7 or 30 days. Open Meo to review the relevant files, extend those still needed and remove those you no longer need to retain after checking.
The draft still helps answer a client question
In this fictional example, Nadia finds a design draft nearing its retention date in the Atelier client folder. The client still has a question about that version. The document remains useful for the work in progress.
| After review | Decision in Meo |
|---|---|
| The document is still needed | Extend its retention date |
| It no longer needs to be kept | Move it to the trash |
Automatic deletion is enabled per space
By default, Meo does not automatically delete expired documents. You review the files and choose what happens next.
An administrator can enable automatic deletion for a space. Eligible files past their retention date then move to the trash across that space, not just drafts. They remain recoverable for 30 days before permanent deletion.
Extend the file that needs more time
The date is calculated at upload. Changing a document type’s retention period applies to future uploads; files already received keep their dates. For the Atelier draft, Nadia therefore extends that document’s retention date directly.
She chooses a new date that fits the remaining work. The draft stays available to answer the client, with a new retention date in Meo.
