What exactly is Meo?
Meo is a Quebec platform that brings contact management, document requests, electronic signatures and Law 25 compliance together in a single tool. Your clients upload their documents through a secure portal carrying your branding, and you follow everything from one central dashboard. It is all hosted in Quebec.
Who is Meo for?
Quebec service businesses that collect documents and personal information: notaries, CPA accountants, lawyers, real estate and mortgage brokers, car dealerships, travel agencies and many more. Meo works just as well for a sole practitioner as for a multi-branch organization, thanks to spaces.
Does Meo replace Google Drive or Dropbox?
Yes, completely. Meo is first and foremost a full secure drive: you can organize every document in your business there and use it as your only storage tool, with nothing else alongside it. The difference is everything that comes on top for client work: structured requests with automatic reminders, real-time tracking, AI detection of sensitive documents, electronic signatures, an audit log and built-in Law 25 compliance. And your data is hosted in Quebec.
Can I migrate all my existing files to Meo?
Yes. Drag and drop entire folders into your Meo drive (the structure and subfolders are preserved) or use the “Import a folder” option. Each file can be up to 50 GB, and you can import up to 1,000 files per batch, as many times as you need. For your contacts, the CSV or Excel bulk import adds up to 5,000 records at a time.
Does Meo replace a CRM like HubSpot or Pipedrive?
For most Quebec service businesses, yes. Meo covers contact management (assigned owner, statuses, internal notes with reminders, encrypted information), document exchange, signatures and Law 25 compliance. If you run advanced marketing automation, a dedicated tool can sit alongside Meo, but for day-to-day client work, Meo is enough.
What is a space?
A space maps to an office, a branch or a team. Each space has its own contacts, folders and access rights: an employee only sees the spaces they are attached to. Templates defined at the organization level flow down to every space, either editable or locked. It is the ideal model for franchises and multi-site organizations.
Is there a mobile app?
No app needed: Meo runs entirely in the browser, for you and for your clients alike. On mobile, your clients can photograph their documents with their phone camera and upload them straight away.
Is support available in English and French?
Yes, in both languages. Meo is a Quebec business: support is provided in English or French, by chat inside the app or from our contact page.

The client portal

Do my clients have to create an account?
No. Your clients receive a link and sign in with a single-use verification code sent by email or SMS. No account to create, no password to remember, no app to install.
How do my clients reach their portal?
Your client receives a link by email or SMS. When they open it, a verification code is sent to them automatically. They then land on a portal carrying your branding (your name and your logo), where they upload their documents, fill in the information you asked for and sign if needed. They also see the list of what they have already submitted.
How much does it cost per client?
Nothing. Contacts are unlimited on every plan and portal access is free for your clients. No fee per request, per client or per signature.
What if my client loses their access link?
You resend the link in one click from the contact record, by email or SMS. Since there is no password, there is nothing to reset: a new verification code is sent at every sign-in.
Do my clients need to be comfortable with technology?
No, the portal is built for that. No account, no password, no app to install: your client clicks a link and enters a code received by email or SMS. On a phone, they can photograph their documents directly. And if a client would rather hand you their documents another way, you can upload them into their folder on their behalf.

Requests, signatures and documents

Are electronic signatures included?
Yes, on every plan, in unlimited quantity and with no fee per send. The signer's identity is verified with a unique code (email or SMS) and every step is recorded in the audit log with a timestamp. You can have several signers sign the same document, in the order you choose: one after another (sequential signing) or all at the same time. No separate DocuSign subscription needed.
Can I create templates for my recurring requests?
Yes. Meo offers templates for requests, documents, information and signatures. You define them once at the organization level and they flow down to each of your spaces, either editable or locked, as you prefer.
How does Meo handle my document expiry dates?
Every document can carry an expiry date. Meo sends a weekly summary of the documents that have already expired, those expiring in the next 7 days and those expiring in the next 30 days. Each team member chooses whether to receive these reminders.
Is there a file size limit?
Each file can be up to 50 GB on upload. To retrieve several documents at once, Meo bundles them into a ZIP file: up to 10 GB or 10,000 files per download. Past that, you download one subfolder at a time.

Law 25 compliance

Does Law 25 apply to my small business or my self-employed practice?
Yes. Law 25 applies to every private business in Quebec, whatever its size. There is no exemption based on headcount or revenue. Most obligations have been in force since September 2023, and the right to portability since September 2024.
What are the penalties for failing to comply with Law 25?
The law sets out two levels of sanctions: administrative monetary penalties can reach $10 million or 2% of worldwide turnover, and penal sanctions $25 million or 4%. A person can also be awarded punitive damages of at least $1,000 if a court finds an intentional infringement or gross negligence.
How does Meo help me comply with Law 25?
The compliance portal walks you through it step by step: designating your privacy officer, AI analysis of your privacy policy, registers of incidents, rights requests and vendors, and a score that tracks your progress. Day to day, Meo captures consent, logs access, automatically deletes documents that reach their expiry date, and lets you anonymize and export a client's data for portability.
What is the public compliance portal?
Once you have completed your compliance journey, you publish a public page in your name where your clients can read your practices and submit their rights requests (access, correction, withdrawal, and so on). Every request is logged automatically in your internal register and your privacy officer is notified, so you can answer within the 30-day deadline set by the law.
How long do I have to keep my clients' documents?
Law 25 requires personal information to be destroyed or anonymized once the purpose of collection has been fulfilled, subject to the periods set by other laws: 6 years for tax records, for example. The confidentiality incident register, for its part, must be kept for at least 5 years. Meo applies a retention period per document type and automatically deletes the documents that reach their expiry date.

Security and hosting

Where is my data stored?
All primary data (database, files, backups) sits in Quebec, in the AWS Montreal region (ca-central-1). The few vendors based outside Canada (payments, email delivery) receive only the minimum their function requires and are documented in our data processing agreement.
How is my data protected?
Several layers: AES-256 encryption at rest and TLS in transit, additional application-level encryption (AES-256-GCM, with a separate key per space) for sensitive information such as card numbers and PINs, a SHA-256 fingerprint on every file to guarantee its integrity, optional two-step verification, sign-in alerts from a new device, a Cloudflare firewall and a complete audit log. Our infrastructure is also subject to independent penetration testing.
How does AI detection of sensitive documents work?
As soon as a document is uploaded, the AI analyzes it to spot identity documents and sensitive information (driver's licence, passport, health insurance card, and so on). Previews of sensitive documents are blurred automatically to protect the information they contain. Processing is ephemeral and happens in Canada: temporary files are deleted immediately after the analysis and the AI keeps no data.
Do all my employees have access to everything?
No. Meo applies four roles (owner, administrator, editor, viewer) with granular permissions. A contact's sensitive information is protected by a separate permission, and each employee only reaches the spaces they are attached to. That is the minimum-access principle Law 25 requires.
What happens if I want to leave or delete my data?
You remain the owner of your data and can export it at any time. When your contract ends, you have 30 days to download everything from your dashboard; production data is then deleted within 60 days and backups purged within 90 days, as set out in our data processing agreement.

Pricing and getting started

How much does Meo cost?
Three plans: Solo at $35/month (1 user, 1 space, 10 GB), Équipe at $89/month (unlimited users, 10 spaces, 50 GB) and Entreprise at $249/month (unlimited users, 20 spaces, 200 GB). A Sur mesure plan is available on quote. Annual billing earns a 20% discount. If you need more, add a space ($20/month) or 50 GB of storage ($10/month).
Which plan should I choose?
Solo if you work alone: everything is there, including unlimited signatures and full Law 25 compliance. Équipe as soon as there are several of you, or when you want to partition your files by space. Entreprise for multi-site organizations that need more spaces and storage. Sur mesure for single sign-on (SSO), a particular governance structure or dedicated support. If in doubt, start the free trial: you can switch plans at any time.
I run a franchise or a group of professionals: is the Entreprise plan enough?
It depends on who needs to see what. In Meo, users at the organization level reach every space by default. If your branches belong to the same company and management can legitimately consult every file, the Entreprise plan is the right fit. If instead you bring together independent professionals who share offices and tools but whose clients are separate (a group of brokers, for example), management should not see everyone's files: Law 25 limits access to the people who need it. In that case, contact us for a Sur mesure plan tailored to your structure.
Is there a free trial?
Yes, 30 days with every feature, no credit card. At the end of the trial, you pick your plan. If you do not continue, your account switches to read-only mode: you lose no data.
How long does setup take?
About 5 minutes to create your account, upload your logo and send your first request. Bulk import (CSV or Excel, up to 5,000 contacts per batch, with duplicate detection) then migrates your existing contacts in a few minutes. Nothing to install: it all happens in your browser.
Can I switch plans along the way?
Yes, at any time from your account. When you switch, Meo checks that your current usage (spaces, storage) is still covered by the new plan, so there is no unpleasant surprise.
