Your colleague has access to the file. Yet she calls during your time off: “Did the certificate arrive? Who was supposed to call the seller?” The files were shared. The next action was still in your head.
With Meo, assign the follow-up to a person and a date in a client-linked task. Your colleague can find the request, received documents and discussion of what needs doing. She can follow through on the client commitment without waiting for your return.
Hand over one specific commitment
In this fictional transaction, Nadia is away for a few days. She assigns Émilie a client-linked task with this context:
Current status: certificate of location not received.
Expected: Monday, from the seller.
Tuesday, Émilie: check the Meo request. If the certificate is missing, contact the seller.
If it has arrived, record receipt and tell Marc it is ready for document review.
Decision beyond this follow-up: contact Marc, the broker available during the absence.
Before leaving, Nadia checks with Émilie that she can open the file and request through her own account.
The seller knows whom to contact too
Nadia tells the seller that Émilie will handle the certificate follow-up during her absence and provides her contact details. The seller knows whom to tell about a delay or ask a question.
Return to a recorded outcome
On Tuesday, Émilie opens the request. In this example, the certificate has been uploaded. She finds the file in the client folder, tells Marc it is ready to review, then adds this task comment:
Received: certificate uploaded in Meo on Tuesday.
Review: Marc notified.
Seller: no follow-up call needed.
Émilie completes her follow-up task. When Nadia returns, she can see what arrived and who is handling the review without asking her colleague to reconstruct the exchange.
